Who we are

Chemlogic Ltd (Registered in England and Wales, company no. 17456805) is the controller of the personal data described in this notice. You can contact us about anything in it at contact@chemlogic.co.uk.

What data we collect

  • Contact enquiries: your name, email address, organisation, job title and anything you include in your message when you contact us or request access.
  • Pilots: the names, work email addresses and roles of the people at a pilot customer who use Headroom, plus records of their sign-ins and actions in the product.
  • Website usage: aggregated, cookieless analytics on page views. We do not use advertising cookies.

Site inventory and safety data sheet information supplied during a pilot is business data about the customer's site, not personal data, and is governed by the pilot agreement.

Why we use it and our lawful basis

  • Replying to enquiries and discussing access — legitimate interests in responding to people who contact us about our product.
  • Providing and supporting a pilot — performance of a contract with the pilot customer, and our legitimate interests in operating and securing the service.
  • Keeping records we are required to keep — legal obligation.

How long we keep it

  • Enquiries that do not lead to a pilot: up to 24 months after our last contact.
  • Pilot user data: for the duration of the pilot and up to 12 months afterwards, unless the customer asks us to delete it sooner.
  • Contract and financial records: six years, as required by UK law.

Sharing

We use a small number of processors to host the website and service and to handle email. They act only on our instructions. We do not sell personal data. Where data is processed outside the UK, we rely on UK adequacy regulations or the International Data Transfer Agreement.

Your rights

You have the right to access, correct, erase, restrict or object to our use of your personal data, and to data portability. Email contact@chemlogic.co.uk to exercise them. If you are unhappy with our response you may complain to the Information Commissioner's Office (ico.org.uk).
